The co-hosts of the 2018 International Conference of Data Protection and Privacy Commissioners (ICDPPC), the European Data Protection Supervisor (EDPS) and the Bulgarian Commission for Personal Data Protection (CPDP) are pleased to present the conference fees.

Below you will find a table listing different categories of registration fees, your entitlements upon registering and the terms and conditions for registration. You can also refer to the timetable for the week here.

For practical purposes, the EDPS is the lead authority responsible for the organisational aspects and policy decisions required to deliver the conference and associated events in Brussels, while the CPDP is responsible for the accompanying events organised in Sofia. Please read the accountability statement for more details.

The EDPS is pleased to highlight our policy not to use sponsorship to deliver the closed and public sessions of the conference in Brussels but to rely on the registration fees outlined below and to some extent on our own budget.

A discount of 30% is offered to those registering to attend in person, both the privacy events in Sofia and the conference in Brussels.

5 EPIC is granting a scholarship to 20 Civil Society NGOs wishing to participate in the Open Session of the 40th ICDPPC. In order to be eligible please send an email, no later than 10 September, to privacyconference2018@edps.europa.eu mentioning "EPIC Public Voice" in the subject line and describing your organisation, why you are applying and who is the beneficiary of the scholarship. Applications will be considered on a first-come-first-served basis
6 Students: Student card or verification letter from place of education is required to qualify for the student rate. Please email the document at the time of submitting the registration form

Payment Methods

  • Bank Transfer
    The bank details will be sent to you by email upon receipt of your registration. All the bank charges should be borne by the remitter.
  • Credit Card
    Credit card payments will be processed through Worldpay.

All payments are in Euros (€). US Dollar prices are for reference only.
Registration confirmation will be emailed to registered delegates when full payment has been received. 

Terms and conditions

  1. Registrations are subject to acceptance on a first-come-first-served basis.
  2. Registration can only be processed with full payment of the fees by bank transfer or credit card. Please DO NOT send cash.
  3. Registration fees will be charged in Euros. Registration acknowledgement will be issued and sent to you through email upon receipt of your registration form. If you have indicated to pay by bank transfer, please follow the instructions listed in the acknowledgement to settle the payment within 14 days. Registration will not be confirmed until your payment is settled.
  4. A letter of registration confirmation will be sent to you by email within 14 days upon receipt of your full payment. Kindly check through the confirmation carefully for any errors. Any changes or alterations must be made in writing to registration.privacyconference2018@forum-europe.com
    If you have not received confirmation within 14 days after payment, please write to registration.privacyconference2018@forum-europe.com
    Registered delegates should bring their letters of registration confirmation or show the eCopy of it to complete the check-in procedure at the conference venue.
  5. Refund for cancellation of registration will be made and subject to the following deadline and handling fee:
    Written notification of cancellation received on or before 10 September 2018: Full refund with a deduction of Euros 40,00 handling fee
    Written notification of cancellation received after 10 September 2018: No refund

    • Notification of cancellation must be made in writing via email to registration.privacyconference2018@forum-europe.com
    • You must indicate your name and registration number in the notification of cancellation.
    • All refunds will be processed after the conference. Delegates will be notified of the refund arrangements by email.
    • If you cancel your registration, please remember to also cancel your hotel and travel reservations. The conference host accepts no responsibility for making those cancellations.
  6. No refund or discount can be given for non-attendance of events, early departure or cancellation of any function listed in the registration entitlements.
  7. Registration fees do not include accommodation, airport transfers or visa applications.
  8. Participants are advised to secure appropriate travel and health insurance. Registration fees do not include insurance coverage. The conference hosts accept no responsibility for any loss in this regard.
  9. The conference programme is subject to change without prior notice. In the unlikely event of cancellation of the conference, the maximum liability of the conference hosts is to refund the registration fees paid.
